How can Net Pay Wages be distributed?
Back Office Check: Back Office can issue a check for a net pay with the exception of termination checks. Additional shipping charges will apply for net pays paid via Back Office Check
Direct Deposit: Pay date will be three banking days after submittal, (submitted before 2:00pm MT equals day one), funds will be pulled from the Employers bank on day two, deposited into employees account on day three. Employer must have an active Direct Deposit contract in good standing, The Employee must have valid Direct Deposit Information entered in their employee profile at time of Payroll/Net Pay Submittal, If neither of those prerequisites are met, a Back Office check will be sent with additional fees and shipping charges applied.
Manual Check: In-house checks can be used for any net pay checks
Cash: If you require the ability to pay out net pays via cash, please contact your Back Office Client Advisor to activate this feature. Any discrepancies in a net pay paid by cash will not be captured on a Bank Reconciliation
Net Pay Best Practices:
- Termination Check:
- Due to the time constraints allotted to pay termed employees their final check, the Net Pay Calculator does not have an option for Back Office to produce and ship termination checks
- Termination checks can be paid via Manual Check or Cash (if "Paid by Cash" feature has been activated)
- States have different laws regarding the final pay of wages. Please reference your state guidelines prior to issuing a final paycheck
- NOTE: You can access a list of state guidelines in the Net Pay Calculator under the Net Pay Details
- No paycheck notification is sent to the employee informing that pay is on the way
- Bonus Check and Supplemental Wages:
- Provides a separate bonus check for the employee
- Federal Withholding will be taxed at 22%
- Can be paid via Back Office Check, Direct Deposit, Manual Check, or Cash (if "Paid by Cash" feature has been activated)
- Missed Hours:
- Consult a Back Office Accountant prior to issuing a net pay for missed wages
- Missed hours is used to pay out additional tips or hours due to payroll errors caught after payroll has been processed by Back Office
- Can be paid via Back Office Check, Direct Deposit Manual Check, or Cash
- Gross Up Check:
- If a gross up check is required, contact a Back Office Client Advisor to activate the Gross Up Calculator feature
- Can only be paid via Back Office Check or Manual Check
When to Contact Back Office, Prior to Using the Net Pay Calculator:
- Replacement Check:
- Send a support request using the PAYROLL Ticket Form and Sub: Regarding of Net Pay with the following information:
- Employee Name
- Original Check Number (can be found on the Back Office Check Register)
- Total net pay amount
- Replacement Check Number
- Back Office Accountant will void out the original check and replace it with the replacement check number to ensure employee W2 and payroll histories are accurate
- NOTE: If the original check was lost, we recommend issuing a stop payment on that check prior to distributing the replacement check in order to prevent both checks from clearing the bank
- Send a support request using the PAYROLL Ticket Form and Sub: Regarding of Net Pay with the following information:
- Overpaid Employee Check:
- If an employee is overpaid, reach out to your Back Office Accountant to discuss options to rectify the issue
- Due to state regulations, resolution for overpaid employees will vary
- Missed Hours:
- If missed hours or tips need to be paid, reach out to your Back Office Accountant to discuss the best option
- If the Net Pay Calculator is the best option based on the situation, the Back Office Accountant will direct your to use it
- If the original check needs to be recalculated the Back Office Accountant will work with you to complete the recalculation
- This would be necessary in the case that Additional Minimum Wages were either paid out unnecessarily or not at all
